Package prices are tax inclusive, net non-commissionable.
PACKAGE INCLUDES THE FOLLOWING:
- Hotel accommodations for five nights.
- Meet at airport with foreign language guide and greeting
sign board.
- Airport transfer assist to hotel. Hotel transfer assist
to airport. Bus transfers will be organized with one guide
assisting at airport until departure. Separate guide will
be waiting at hotel upon arrival. Most cases DO NOT include
guide on the bus ride over.
- Hotel pre-check in 3 hours before arrival with room keys
prepared upon arrival.
- Hotel check in assist, on site assistance for 45 minutes
after room check in to ensure guests are pleased with rooms.
- Local explanation about convention bus schedule, event
schedule, nearby restaurants, sightseeing attractions, smoking
policies, local liquor laws, safety precautions, emergency
contact information.
- Information sheets in foreign language with hotel information,
telephone usage for local and long-distance calls, restaurant
hours, hotel amenity instructions.
- 24 hour on-call emergency service by calling MWT staff
(1-800-487-4574)
-Sales Tax, local service fees.
PACKAGE CHECK-IN/CHECK-OUT DATES
Check in October 4, 2005 after 4:00 PM
Check out October 9, 2005 before 11:00 AM
--Additional days may be added or subtracted for cost listed
on website.
PACKAGE AVAILABILITY
Packages are booked based upon availability. Bookings are
prioritized based upon the time booking request is received
at MWT. Duplicate bookings for same hotel will be allocated
at MWT discretion.
PAYMENT SCHEDULE AND CANCELLATION PENALTY
At time of booking: US$250/person
September 1, 2005: Remaining balance
All bookings made after August 4, 2005 will prepay in full.
If cancellation occurs following prepayment, MWT will refund
deposit before November 1, 2005.
Acceptable payment methods include: Company check, wire
transfer, bank check, Visa, Master Card, American Express.
*Credit card payments available for groups fewer than 5
people. Charges will show as Mountain West Travel
on your statement. Checks should be made payable to Mountain
West Travel. Detailed bank information will be sent for
wire transfers.
CANCELLATION TIMELINE ONCE PACKAGE BOOKED
If you cancel travel package on or before 1/4/05- $50/person
cancellation fee applied
If you cancel travel package on or before 4/4/05 $150/person
cancellation fee applied
If you cancel travel package on or before 8/4/05 $250/person
cancellation fee applied
If you cancel travel package after 8/4/05, 100% of total
cancellation fee applied**
*If you change occupancy to fewer people, you will be required to pay the extra cost. For example, double occupancy changed to single occupancy will pay the difference for extra cost to upgrade to single occupancy room.
**If cancellation becomes necessary
after 8/4/05, we will attempt to help resell any packages.
If we are successful in reselling your package, we will
only charge a $100/person processing fee.
Cancellation fees are independant of hotel cancellation
clauses and include, but are not limited to, MWT expenses
incurred, lost revenue, additional marketing costs, etc.
ATTRITION
Packages are 5 night minimum with allowance for 10% attrition.
Attrition is based on total room nights booked. 4 Night
bookings will have 0% attrition. Fewer than 4 night bookings
will not be available until September 15, 2005.
CONTRACTS
Contracts will be valid three business days after
receiving it, at which time we will require a decision.
After signing contract, any conditions not met including,
but not limited to, deposits, rooming lists, and payment
conditions, will void the contract and cancellation penalties
will be applied.
ROOMING LIST
Rooming Lists are due September 1, 2005. Any changes
to the rooming list after the Rooming List Due Date will
not be guaranteed.
NO SHOWS
A signed contract guarantees reservations for guests arriving
after 4 PM. If after signing the contract the buyer is negligent
in canceling any necessary rooms, these rooms will be charged
fully regardless of its use.
INCIDENTALS AND DAMAGES
It is the obligation of individual guests to pay for incidentals
at the front desk prior to departure. A major credit card
imprint is required in order to turn phones on in the individual
rooms.Guests will be responsible for any damages related
to their room.
HOTEL PORTERAGE-OPTIONAL
Hotel porterage is $7/person round trip.
Aiport porterage is $4/bag one way. Airport porterage NOT
available for bus groups.
BREAKFAST-OPTIONAL
All breakfast coupons must be requested at least 14 days
prior to arrival. Breakfast prices are listed at COST with
no markup, but include all tax and gratuity. *Breakfast on departure: If your flight leaves before 10:00 a.m., we will replace your breakfasts coupons with a Japanese breakfast bento.
*TRIPLE/QUAD ROOMS
Triple and Quad occupancy rooms DO NOT include rollaway bed. Most Triple and Quad rooms only include two beds. Extra rollaway beds must be requested.
*ROLLAWAY BEDS
Rollaway beds are subject to availability. The cost per rollaway bed is $15/day tax inclusive.
